HOA Contractor Insurance Requirements: What Boards Must Track

Homeowners associations approve contractors for roofing, landscaping, painting, snow removal and repairs — and with every approval comes liability. If a contractor’s insurance has lapsed and something goes wrong, the claim can reach the association and every owner.

The minimum requirements every HOA should encode: general liability of at least $1M per occurrence, workers compensation (mandatory in most states for employers), and — critically — the association named as additional insured on the contractor’s policy.

The operational challenge is tracking: certificates expire on different dates, renewals come by email in different formats, and volunteer boards have no admin time. Spreadsheets fail because nobody updates them; the certificates sit in a drawer until an incident.

That is why associations use COIFort: contractors upload their certificates through a simple link, the system verifies them against the board’s requirement template, and reminders fire before any expiration. The board sees a one-page status summary and does nothing else.
